Every candidate comes out with a professional PDF report: score out of 100, a rating per criterion, a written summary, strengths, risk flags and interview questions. Your talent pool becomes raw material again

Every resume you analyse joins your talent pool. On the next assignment you open the role, run the matching, and the software surfaces the matching profiles from your own database, ranked by relevance, before you have posted a single ad. The resume received in March becomes a candidate for the October assignment.

Create the assignment

Paste the client’s job description, the URL of the ad, or type the skills you expect. Must-have and nice-to-have criteria are extracted automatically, and you adjust the weighting assignment by assignment. The number of roles open in parallel is unlimited.

Bring the resumes in

Upload PDF, DOC or DOCX files in batches of 50, plug in the WeRecruit API connection on the Enterprise plan, or activate an email address dedicated to the role that Indeed, HelloWork or a simple forwarding rule can feed.

Deliver the shortlist

Candidates appear ranked by descending score. Shortlist, hold or reject with a reason, then export the PDF report of each finalist, share the link to an analysis, or pull the Excel table for the whole assignment.

Deliver a PDF shortlist your client can read without you

An agency’s pain is not finding resumes. Between job boards, LinkedIn, your own database and referrals, the raw material arrives. The friction sits downstream: you have to deliver three profiles fast, and above all deliver something the client can read, compare and defend internally without having you on the phone.

Justifying your fees: the client shortlist as a deliverable

Justifying your fees is an exercise in evidence. As long as the deliverable looks like forwarded resumes, the client compares your invoice to the price of a job board ad. As soon as it looks like a study, they compare it to the cost of a bad hire.

In practice the client shortlist becomes the object that makes your work visible: it shows how many applications were assessed, against which criteria, with what weighting, and why those three profiles came out on top. A rejection carries a written reason. A shortlisting carries a rating per criterion. Nothing rests on "trust me" any more.

It also protects you when there is a disagreement. Six weeks later, when the client asks why a given profile was not presented, the answer still exists in writing, with the grid that was applied to the whole assignment. The score does not hire for you: it makes your decision explainable.

Screen a 500-resume assignment in one afternoon

Useful recruitment agency software is judged on a high-volume assignment: a staffing firm opening ten developer roles, an agency hiring a whole sales team, an internship campaign. At 30 seconds per resume, 500 applications amount to a few hours of machine processing against several days of reading.

Reactivate your talent pool on every new assignment

An agency accumulates resumes for years. Storing them was never the problem; getting them back out at the right moment is. Nobody remembers the profile seen eight months ago on a neighbouring assignment, so an ad gets reposted to find someone you had already met.

Recruitment software for agencies: ATS, CRM or scoring tool?

The three categories overlap in brochures and separate very cleanly in practice. An ATS runs the process: postings, pipeline, stages, statuses, candidate communication. A recruitment CRM runs the commercial relationship: client accounts, mandates, follow-ups, invoicing, sometimes the talent pool. A scoring tool assesses: it reads resumes and ranks them against a role.

ResumeRank is a scoring tool. It replaces neither your ATS nor your CRM, and it would be dishonest to claim otherwise: you do not track mandates in it, you do not invoice from it, you do not manage your client relationship there. How many resumes can I analyse on one assignment?

There is no cap per assignment: what counts is your monthly analysis quota, 200 analyses per month on Pro and 500 shared monthly analyses on Enterprise. Uploads run in batches of 50 resumes, so a 500-application assignment takes ten uploads — or none at all if applications arrive automatically through WeRecruit or the email address dedicated to the role. The number of roles open in parallel is unlimited.

Can I export a report carrying my agency logo?

Yes. Professional PDF export with your logo is included from the Pro plan ($29 per month). Every report carries the score out of 100, the rating on each of the five criteria, the written summary, strengths, risk flags and suggested interview questions. Does ResumeRank connect to WeRecruit or to my ATS?

The WeRecruit API connection is part of the Enterprise plan: you paste your API key, your roles are imported, and every new application is screened automatically on arrival. The same plan opens the ATS integrations (Hellowork, Boond Manager and others). For Indeed, HelloWork or any source that sends applications by email, you activate an address dedicated to the role and attached resumes are analysed as they land.

Where is candidate data hosted, and who is responsible for it?

Resumes are hosted and processed in France, in Paris, encrypted at rest and in transit. Your agency remains the data controller: tell candidates you use a pre-selection aid, keep a human decision at the end of the chain, and set a retention period for the profiles you keep in your pool — the French data protection authority recommends no more than two years after the last contact for an unsuccessful candidate. Access, rectification and erasure rights (GDPR articles 15 to 17) apply to every profile.

Which plan suits an independent recruiter?
